MOA Meeting Minutes from Nov 5th, 2019

​MOA Meeting - November 4, 2019
Call To Order: 7:40
Attendees: Amy Freeman, Matt Yoke, Patty Yoke, Kim Driscoll, Jennifer Roberts, Aaron Roberts, Linda Dakwar, Bitzy Murray, Melissa Schnieder 
New Business:
  • MOA has the display case at the Main Library for November. It needs to be decorated. We can fill it with anything. Amy can work with Jen to get this done.
  • Display Concert Dates - November 19th, December 10th, 
  • Print pictures Kim sent on display
  • Fundraiser information
Uniforms
  • 2 students need to be fitted still.
November 19th Concert
  • Amy to set up meet & greet for the 19th
December 10th Concert
  • Amy to set up meet & greet tables
  • Sell tickets for dinner
Dinner
  • Donation Letter
  • Change letter to have emails instead of phone numbers
  • Aaron to set up email address through G Suite
  • Linda has a list of 100 businesses to contact. Some businesses request applications and log-ins closer to the date.
  • Disney application is in process. Need 15-35 volunteers to earn 5 free park hopper passes
  • Amy to try to fit CityFest into Disney Criteria
  • Linda to get letter to Matt to copy. Amy to provide envelopes. Amy to look into stamps & get 100 stamps. Linda has a group set to stuff envelopes & mail out. Linda will need people to call on the businesses to follow up to collect the donations from the businesses. 
  • Ticket Price - $20 per ticket
  • Who printed the tickets?
  • Food will be set up buffet style. Students will serve the food in the buffet line. Tickets will have vegan & gluten free option. We will address these dietary needs once we have numbers back.
Committees
  • Decorations
  • Possibly use student photos that parents can take home
  • Scrolling videos on Paradigm TVs
  • Kim will work on getting photos of all groups and as many kids
  • Video could be a silent auction item
  • Baskets
  • Need to see what donations come in to determine if silent auction or raffle. 
  • Linda to send out master list of businesses and once we get volunteers we’ll be able to ask people to sign up for donation pick ups
Advertising
  • Save the Date Email
  • Promotion @ Concerts
  • Mannheim requirement to sell 4 tickets, all students will be asked to sell tickets. Gift for top seller in each orchestra. 
  • Linda will have flier created. Matt will print & put in programs for November & December concerts
  • Need volunteer sign ups. Will get forms & website updated and then send an email to Kim & Matt to send out through Infinite Campus and flier to send home with younger students.
